For many owners, this is the part they know least about — and it’s where avoidable delays can still creep in at the last minute. Here’s what actually happens, and how to keep it to hours rather than days.

What happens between approval and funds?

  1. Offer accepted. You confirm you want to go ahead.
  2. Loan documents issued. The loan agreement, any guarantees and security documents.
  3. Signing. Borrowers, directors and guarantors sign — often electronically.
  4. Conditions cleared. Anything the lender needs before releasing funds.
  5. Security registered (property loans). The mortgage is registered or the caveat lodged.
  6. Existing lender paid (refinances). The old loan is cleared.
  7. Funds released. To you, or directly to the party you’re paying.

Who can the funds be paid to?

More flexibly than many owners expect:

  • Your business account, for general working capital.
  • The ATO, using your payment reference — common for ATO tax debt funding.

  • A seller or their representative, for a purchase or settlement shortfall.
  • An existing lender, to pay out a loan being refinanced.

What causes last-minute settlement delays?

  • A guarantor who can’t sign today — travelling, unwell, or unaware they need to.
  • Unmet conditions — insurance certificate, payout figure, a signed authority.

  • Title surprises — an old caveat, a name mismatch, a trust structure.
  • Bank cut-off times — a late-afternoon release might not appear until the next morning.

When will the money actually appear?

Once the lender releases funds, how quickly they appear depends on the payment method and the banks involved. Same-bank and fast-payment transfers can land quickly; others may take until later in the day or the next business day, especially if released close to a cut-off. If timing is tight — say a supplier’s 3pm deadline — say so early so settlement is scheduled with room to spare.

What happens to the security when the loan is repaid?

For a property loan, the lender discharges the mortgage or withdraws the caveat once the loan is repaid, and the title is cleared. If you sell the property while the loan is in place, the loan is repaid from the sale proceeds at the sale’s settlement. Keep the discharge paperwork for your records.

An illustrative example: a Launceston joinery takes a $70,000 caveat loan to pay a timber supplier who needs funds by Friday at noon. Documents are signed Thursday afternoon; the only outstanding condition is the supplier’s invoice with bank details, confirmed by phone. The caveat is lodged Friday morning and funds are released directly to the supplier at 10.15am. Had the owner’s spouse, a co-owner of the property, been interstate and unable to sign, the payment would have missed the deadline.

What should you have ready on settlement day?

A short list for the person running the business side of the settlement:

  • Phone on and answered — lenders and settlement agents sometimes need a quick confirmation.
  • Payee details confirmed — if funds are going to the ATO, a supplier or a seller, double-check the account details by phone using a number you already trust.
  • Guarantors briefed — anyone who needs to sign knows what’s coming and is reachable.
  • Conditions cleared — insurance certificates, signed authorities and any requested statements already sent.
  • Your own timing — if the money must be with a third party by a set time, the lender knows that time.

For refinances, one more item matters: make sure the existing lender’s payout figure is current. Payout figures are usually valid only to a particular date, and an expired one can mean the settlement has to be re-booked. If settlement moves, ask the existing lender for an updated figure straight away.

Once funds are released, ask for written confirmation of the payment and keep it with your loan documents. If the funds were paid to the ATO or a supplier, a remittance or receipt from them closes the loop. It’s a small step that makes your records — and any future application — much cleaner.
